Holiday planning 🌴

It's Friday again! (Time really does fly...)

With summer approaching, I want to discuss holiday planning today!🌴🌊⛺️🗻

Let's kick things off with some statistics:

  • Recent surveys indicate that up to 65% of employees have had to alter their holiday plans due to a coworker booking the same days off!
  • In countries like France and Germany, it's typical to arrange summer vacations 6–12 months ahead, with some even closing entire departments in August.
  • A global survey revealed that employees in India, Brazil, and Australia are more inclined to negotiate extended leave, while U.S. workers often feel guilty about requesting more than a week!
  • A 2023 study showed that 38% of employees experience feelings of being 'left out' or stressed when too many colleagues are on holiday simultaneously—effective planning can alleviate this. (Indeed, FOMO can occur in the workplace too - Fear Of Missing Out)

Did you anticipate this? I certainly did. After a decade of experience with multinational companies, I can confidently validate those figures...

However, there are other practices that I believe should be banned! 

Numerous sectors, such as retail and hospitality, impose 'blackout dates'—periods when employees are not allowed to take vacations, typically during peak seasons. 

Additionally, some organisations engage in unofficial 'calendar races' to secure popular dates immediately after the holiday schedule is released. 

Seriously, what is that? It's like a game of musical chairs! 

Furthermore, some companies seem stuck in the past, relying on a basic Excel spreadsheet for holiday bookings! 

They claim: 'The shared spreadsheet is one of the simplest and most effective tools for long-term leave planning, utilised by teams globally to coordinate their time off.' Unbelievable!🤦🤦‍♀️

Here are some effective strategies and resources to ensure your team can enjoy long holidays without any stress or interruptions: 

  1. Encourage employees to submit their long holiday requests at least 2–3 months ahead of time, particularly during busy periods like summer and December
  2. Utilise tools such as Google Calendar, a shared Outlook calendar, or platforms like Timetastic, BambooHR, or Calamari to keep track of who is off and when. 
  3. Pair each employee with a colleague who can handle essential tasks or emergencies in their absence, fostering teamwork and responsibility.
  4. Implement standardised handoff procedures using tools like Notion, Confluence, or a shared Google Doc to ensure that important information is not lost while someone is away. 
MOST IMPORTANTLY:
  1. Managers should actively promote and exemplify healthy time-off practices; employees are more inclined to plan ahead when they see it being encouraged. 
  1. Communicate to clients and customers that, just as they enjoy soaking in water, you share that enthusiasm too!

Guys, holidays are a fundamental right for every employee, so don't hesitate or feel guilty about asking for them! 

In fact, many countries have laws that state every employee is entitled to take two consecutive weeks off from work to unwind and rejuvenate.
